Job Description

Job title: Receptionist
Location: Tanzania
Industry: Airline 

Role Purpose
To provide comprehensive switchboard services and reception services in response to business needs, while adhering to all laid down safety and security standards.

Key Accountability/Responsibilities
• Handle calls and attend to customers for efficient and effective office operations/functions 
• Proper handover at switchboard and the reception ensuring that the incoming staff is well briefed updated to ensure continuity. 

• Receive visitors at the company headquarters and guide them promptly and accurately with security standards to avoid security lapses
• Answering/responding to customer inquiries on delayed, cancellation and arrival of flights to improve customer satisfaction and reduce cases of complains 
• Ensure that all calls are answered by the second ring and all calls made to company network at least 95% of them are attended to, then direct them as required in order to achieve efficiency 
• Send out daily reports on private calls made by staff for charging purposes
• Product knowledge is a must by keeping yourself up to date with all developments within company network and all over the world, hence ensuring awareness 
• Identify inaccessible extensions, links and faulty lines and report to engineers for repair
• Knowledge and Compliance with relevant security procedures to minimize security threats/risks and enhance safety 
• Any other official duties as may be assigned by the controlling officer.
Academic qualifications

• High School Certificate
• Diploma in telephone operation and receptionist

Work Experience &Skills

• Minimum of 2 years experience in document management systems 
• Minimum of 2 years experience in Telephone operator
• IT and communication skills 
• High proficiency in Ms Office packages

Job title: Warehouse Officer Technical
Location: Tanzania
Industry: Airline
Reports to: Procurement Manager

Role Purpose
Implement and maintain cost effective custody inventory management and control for Airline in order to achieve safe, sustainable and reliable supply chain management and increase shareholder value and organization’s profit.

Key Accountability/Responsibilities
• Facilitate Purchase Requisitions for Quote (RFQs) for replenishment of all consumables, standards parts, compounds and retables
• Weekly stock check compared with re-order, minimum and maximum levels and generate shared reports for updates at intra sectional and departmental levels.
• Manage receipts of all incoming stocks- opening, physical verification of parts, signing of clearing agent’s delivery note, retrieving release papers, invoices, packing list, warranty from inside or attached to cartons, tag parts, invite QA for inspection, arrange parts which pass inspection to proper locations, return rejected parts and update reports.
• Understand needs of internal and external customers in terms of specifications, lead-times and ensure liaising with external stakeholders for satisfaction of internal customers needs

• Ensure Quality and Standards of goods and services are met of which the test is availability of release certificates such as EASA Form 1, FAA, OEM, Certificate of Conformity (CoC) and any other relevant document and make sure they are attached to each part and original filed.
• Ensure proper layout of stores for ease retrieving, tracing, issuing and receiving, movement of workforce, safety and security.
• Ensure temperature readings are done and recorded as required by authorities
• Ensure constant and consistent ventilation of stores as required of by manufacturers and authorities.
• Ensure thorough cleanliness of bonded warehouses and other stores free of dust and any other hazardous objects.
• Monitor parts and tools which need to visit shops for calibration, overhaul, service, repair and any other relevant activity and liaise in writing with QA and procurement offices for approval and dispatch to and back.

Academic qualifications 

• University Graduate in Supply Chain Management from a recognized Institution
• Certified Supplies and Procurement Professional or at least at last stage of CSP
• Registered by Procurement Supplies and Technicians Board (PSPTB)

Work Experience &Skills

• 3 years’ experience in the field of Procurement Management

Key Performance Indicators
• On- Time In Full (OTIF) Inventory = No Stock out and complaints
• Products delivered agree with specifications and are of desired quality and standards with complaints(customer satisfactions)
• Stock levels created, maintained and observed
• Zero hazards hence safe operations & audit findings
• Timely serving (issue)
• Clear information flow through reports
