- Establish, maintain and regularly update the hotel’s Fixed Asset Register (FAR).
- Manage the registration, tagging, classification and tracking of all hotel fixed assets.
- Conduct regular physical inventory counts and asset verification, and reconcile physical assets against accounting records.
- Investigate and report discrepancies, missing assets, damaged assets and unrecorded assets identified during physical verification.
- Monitor asset transfers, relocations, repairs, disposals and write-offs, ensuring that proper documentation and approval procedures are followed.
- Maintain complete supporting documentation for asset purchases, transfers, disposals and other asset movements.
- Work closely with hotel departments to ensure proper custody, utilization and safeguarding of company assets.
- Assist the Finance Department with fixed asset accounting, including capitalization, depreciation, impairment, disposal and reconciliation.
- Prepare periodic fixed asset reports and report asset status and discrepancies to management.
- Assist in developing and improving fixed asset management policies, procedures and internal controls.
- Support internal and external audits relating to fixed assets and provide required records and supporting documentation.
- Assist the Head of Finance / Finance Manager with routine accounting, reconciliations, documentation and other daily financial activities.
- Perform other finance and asset management duties assigned by management.
- Bachelor’s degree or above in Accounting, Finance, Business Administration or a related field.
- Good knowledge of accounting principles and fixed asset accounting.
- Practical understanding of fixed asset capitalization, depreciation, impairment, disposal, write-off and physical inventory procedures.
- Previous experience in fixed asset management, accounting, finance or audit is preferred.
- Previous experience in the hotel or hospitality industry will be an advantage.
- Good understanding of internal controls and asset safeguarding procedures.
- Proficiency in Microsoft Excel and other common office software; experience with accounting or ERP systems is preferred.
- Strong attention to detail, numerical accuracy and organizational skills.
- High level of integrity, responsibility and confidentiality.
- Good communication and coordination skills, with the ability to work effectively with Finance and other hotel departments.
- Good command of English. Knowledge of Swahili will be an advantage.
